This Privacy Notice describes how FieldoraHQ ("FieldoraHQ", "we", "us", "our") collects, uses, and shares personal data when you use Fieldora (the "Service"). FieldoraHQ is the data controller for the personal data described below.

1. Personal data we collect

  • Account data: name, email address, password hash, company name, phone number.
  • Profile data: avatar, role within your company, preferences.
  • Customer & job data you input: customers, jobs, estimates, invoices, inspections, photos, signatures, and any notes or attachments you upload.
  • Communications: support requests, contact form submissions, email replies.
  • Usage & telemetry: pages visited, features used, device and browser information, IP address, approximate location, error logs.
  • Payment metadata: subscription status, plan, and billing identifiers. Card details are collected and stored by Stripe, not by us.

2. How we use personal data

  • To create and operate your account and provide the Service;
  • To process subscriptions and manage entitlements;
  • To send transactional emails (invoices, estimates, password resets, trial reminders, etc.);
  • To provide customer support;
  • To detect, prevent, and respond to fraud, abuse, and security incidents;
  • To improve the Service through aggregated analytics;
  • To comply with legal obligations.

3. Legal bases (where applicable)

  • Performance of a contract: providing the Service to you.
  • Legitimate interests: securing the Service, improving features, preventing fraud.
  • Consent: optional marketing communications, certain cookies.
  • Legal obligation: tax, accounting, and lawful requests.

4. Who we share data with

  • Service providers / sub-processors who help us run the Service: cloud hosting, database, email delivery, analytics, error monitoring, and AI providers used to power AI features. Customer data sent to AI providers is used solely to generate the requested output and is not used to train models.
  • Stripe, Inc. for processing payments, managing subscriptions, and issuing invoices and refunds.
  • Professional advisers (legal, accounting) under confidentiality obligations.
  • Authorities where required by law or to protect rights, property, or safety.

We do not sell personal data.

5. International transfers

Your data may be processed in countries other than your own. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses or adequacy decisions) for international transfers.

6. Data retention

We retain personal data for as long as your account is active and for a reasonable period thereafter to comply with legal obligations, resolve disputes, and enforce agreements. Customer Data is deleted or anonymised once it is no longer needed.

7. Your rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you;
  • Correct inaccurate or incomplete data;
  • Request deletion of your data;
  • Restrict or object to certain processing;
  • Receive a copy of your data in a portable format;
  • Withdraw consent (where processing is based on consent);

8. Security

We implement appropriate technical and organisational measures to protect personal data, including encryption in transit, access controls, role-based permissions, and audit logging. No system is perfectly secure, but we work continuously to reduce risk.

The Service is not directed to children under 16, and we do not knowingly collect personal data from them.
